This document outlines new features, changes and bug fixes for Docman Hub Version 800875.

 

Docman Hub version 800875 brings you an important update containing changes to the management of relayed documents, changes to TIFF printer default settings and enhancements to the user interface.

Version 800875

TIFF Printer Default Settings Changed. In previous versions of Docman Hub, the TIFF printer settings were overridden to a series of default values and users were required to manually change printer settings from black and white to colour. These default settings have now been removed to allow users to have full control over the TIFF printer settings.

Changes to the Management of Relayed Documents. Changes have been made to the management of relayed documents which have been rejected; this means that the responsibility for dealing with user rejections is passed back to the originating Hub. The receiving Hub now only has responsibility for dealing with system rejections. Amendments to the Hub Console have also been made; this means that the required user now has the ability to deal with the changes made to the relaying of documents.

  • Additional Search filters have been added to the Relayed Documents screen which means that they now reflect the main Documents list.
  • A new column has been added to the Relayed Document List, entitled ‘last checked’ this shows when the remote document was last checked by the maintenance service. Should the check be more than 24 hours ago a warning symbol will appear at the side of the column.
  • The Document status is now highlighted in colours in the Relayed Document List, which means that they are now consistent to the main document list screen.

  • The drop-down selector which previously appeared in the Relayed Documents Details screen, to change the status of a document has now been replaced with buttons, these are shown and hidden depending on the control and status of the remote document.
  • The ability to add a comment when re-sending a document from the Hub has now been provided. This will allow you to log and communicate why the document is being re-sent. The notes field now appears in an editable textbox on the document view screen.
  • A status update is made remotely and the change locally is made by the maintenance service, this ensures the statuses are synchronised.

  • A new search checkbox has been included in the Documents screen search filters; this means that users can set Relayed Only results to only show inbound documents.

Documents Details

 

  • The drop-down selector which previously appeared in the Documents Details screen, to change the status of a document has now been replaced with buttons, these are shown and hidden depending on the control and status of the remote document.

Enhanced User Interface. An enhancement has been made to the user interface, designed to provide the user with a clearer view of the statistics. The Activity Summary on the Hub home page has been changed so that the screen will now display two panels side by side. The first panel displays originating hub statistics and the second panel displays relayed document statistics.

Relayed Documents – Source Reference. The source document reference filter now works with partial references; this would originally only search for the full reference.

IIS Configuration and Web Service. Changes have been made to the web service and the IIS configuration to improve the general robustness of the web service.

Meta Data – Parse Check for ‘/’ and ‘\’ Characters. An issue has been resolved that occurred when meta data included the characters / or \. The meta data is used to create the file name of the document being transmitted, and use of these characters would cause an error as Windows considers these illegal characters for file names.

TIFF Converter Auto-Restart. To add reliance to TIFF Converter, we have built a heartbeat application. It monitors the application, and will restart the application if it ever closes due to host failure.

Document Report. A report has been added which shows information about all documents on the Hub, both relayed and local. This report is available using the Get Report option added to the Document List.

End Point List - Editing after Exporting CSV. An issue was discovered after downloading an exported CSV file. When selecting the Edit button after using the Export to CSV option, instead of taking the user to the Edit End Point screen, the download of the exported CSV file would begin again. This is now fixed.

Document List – Relayed Documents. An issue was identified where documents in the document list with the status “Relayed” displayed the practice name “Invalid Practice ID”. This is now fixed.

Delete/Re-Send all Rejected Documents. An issue was identified in which an Organisation was unable to delete or re-send all documents from their Rejected queues. This is now fixed.

Landing Page after Login. An optional new landing page has been added to the Hub. This replaces the main summary page as the redirect after login. The main summary page is still available via the options on the left of the Hub console.

Service Control Manager - Schedule. An issue was discovered in which the Service Control Manager was running components such as backup and emailer functions 24 hours after they last ran, rather than the assigned schedule. This caused the backup to start later every night. This issue is now resolved, and the Service Control Manager runs according to schedule.

Sharing Agreements - Relaying Documents. When attempting to relay a document on a Hub with multiple sharing agreements, if the Hub is unable to connect to the Hub on the first sharing agreement, any subsequent Hub sharing agreements were not checked. This would prevent a document sent by a Hub on the second sharing agreement from being relayed. This has been changed so that problems connecting to a Hub on one sharing agreement would not stop the subsequent connections from running.

Delete All Function Auditing. An issue was discovered in which using the Delete All button in the Rejected by Receiver queue would delete all entries in the queue, but would not appear in the audit trail. This is now fixed.

EDT_GetPracticeStatus API Call. An issue was discovered when using the EDT_GetPracticeStatus API call, which would result in the user encountering an error message reading "Detail: Method failed, no connection details present. Either a default connection must be setup or a connection object passed explicitly to the method". This is now fixed.

Rejected Documents - Date From Field - Deleting/Resending. An issue was identified when deleting or resending all documents from the Rejected Documents screen when using the Date From field. Performing this action would delete or resend all rejected documents, not just the ones on screen filtered by the date field. This is now fixed, and using Resend or Delete All will only resend or delete the rejected documents on screen.

Relayed Documents - Meta Data. A change has been made to the way relayed document information is displayed on a destination Hub. Meta data (and the meta data form) is no longer displayed on the destination Hub for a document that has been relayed, and users on the destination Hub cannot view the document itself. This is to ensure patient confidentiality, and is a requirement of Information Governance.

Relayed Documents Screen - Viewing Relayed Documents. A change has been made to the Relayed Documents screen. Previously, there was no functionality that would allow users to open and view documents from the Relayed Documents screen; users could only make status changes and add notes. An "Open" button has now been added which allows users to open and view the documents.

ITK - Source Document Reference. An issue was identified in which the SourceDocRef field was not being parsed correctly. If UseMsgPayloadID is set in the web.config it should use the <id root="doc id...."> tag under the Payload element to populate, but it was using the Payload ID value. This is now fixed.

Relayed Documents - Meta Data. An issue was identified when relaying a document to a Hub on which the destination End Point is inactive. The Originating Hub would receive an "Unable to add remote document" error with no other information, and the document meta data and XML would be stored on the Relayed Hub's error logs. This is now fixed.

Report Runner - Relayed Document Report. A Relayed Report Outbound report has been added to Report Runner. This reports on documents relayed from the Hub.

TIFF Converter - Speed Reduction. It was found that the TIFF Converter was taking a longer amount of time to convert documents. This is now fixed, and the conversion process runs at expected speeds again.

Relayed Document Check. The relayed document check has been upgraded, and now checks the status of documents more frequently. The solution is configurable and can be set or amended at any point by the Resolutions team.

Archiver - 4008 Status. Documents with the status 4008 are now included in the Archiver session.

Report Runner. The Relayed Outbound Report now includes Department and Contributor fields.

Sharing Agreement. Fixed an issue where sending to an End Point within a sharing agreement was still possible when the sharing agreement had been switched off.
